PICOTECH PERSPECTIVES

Is your business ready for AI integration? A practical evaluation checklist

Define the task, data boundaries, human review, baseline, and evaluation criteria before adding an AI capability to a business workflow.

A short answer

Begin with a specific task, a usable data source, a person responsible for reviewing the output, and a way to measure whether the result is useful. AI integration is easier to evaluate when the expected behavior and failure handling are explicit. A small trial with representative examples is a better starting point than adding an AI label to an entire platform.

Choose a task with a clear boundary

Describe the input, the desired output, and who uses the result. Document-assisted retrieval, classification, drafting, or operational recommendations each involve different constraints. Decide which part of the workflow remains a human responsibility and what the system should do when the available information is insufficient. A well-defined boundary makes testing and integration discussions more concrete.

Review the data before the model

Identify where the information comes from, how current it is, and whether it can be used for the intended purpose. Separate public material from confidential business records. Discuss permissions, retention, provider terms, deployment options, and access boundaries during discovery. Do not upload private customer records or credentials into an initial enquiry. Start with a description or a sanitized sample.

Establish a baseline

Measure how the task works today before evaluating a new approach. A baseline might include review time, the number of corrections, task completion, or whether the answer contains the necessary supporting information. Use examples that include common cases, incomplete inputs, and exceptions. Define what acceptable output means for the people who will rely on it, rather than choosing a model based on a generic benchmark alone.

Design review and fallback behavior

Decide when a person must approve the result, how uncertainty is displayed, and what happens if the service is unavailable. A recommendation should not silently become an irreversible business action without an agreed workflow. Logging, access, cost controls, and the ability to inspect a problematic result should be part of the implementation discussion. The right safeguards depend on the actual task and its consequences.

Connect the capability to the operating system

A promising isolated prototype still needs a place in the workflow. Review authentication, APIs, data freshness, response times, monitoring, and the person responsible for ongoing evaluation. Clarify how a model or prompt change will be checked before release. An integration should help a user complete the task rather than require them to move information between multiple disconnected tools.

Start with a bounded discovery conversation

PicoTech’s AI integration service begins with the business context, data quality, integration boundaries, human review, and evaluation criteria. Bring one representative task and the outcome you want to improve. We can then discuss whether an AI capability, a conventional software rule, a better integration, or a clearer process is the most useful next step.
