Define what committee management means for you
Committee administration is not the same in every organization. One team may need clearer ownership of routine work, while another may be trying to bring records and administrative processes into a shared workspace. Describe the committees involved, the people who administer them, and the decisions or activities that need better coordination. Avoid assuming that a product label guarantees every module you have in mind.
Understand the organization boundary
Multi-tenant SaaS serves multiple organizations within a common software platform. Each organization needs an appropriate workspace and access boundary. In a product discussion, ask how the organization is selected, how administrators are assigned, how users are removed, and what separates one organization’s information from another. The answers should describe the actual implementation and operating practices rather than rely on the phrase multi-tenant alone.
Map responsibilities before requesting features
List who creates, reviews, approves, and maintains information. Then identify what each person should be able to view and change. This exercise helps surface access requirements and avoids treating every user as an administrator. Ask the product team to walk through these roles using your examples and confirm which controls are currently available.
Ask about the life of your data
Discuss how information enters the system, how corrections are made, which records need a history, and what you can export. Ask how backups, restoration, retention, and account closure are handled. If you already use spreadsheets or another system, review a representative sample and plan the migration rather than assuming an import will be automatic.
Evaluate the current product, not a future promise
A helpful walkthrough separates available modules, configuration, planned work, and custom development. Confirm the scope in writing before a commitment. For Orvanta, share your committee structure and administrative requirements with PicoTech so we can explain the current product and discuss the fit. For Mahallu-specific community records and collection workflows, MahallIQ may be a separate conversation.
Prepare a small, representative scenario
Choose a typical committee workflow, the people involved, and the outcome you want to see. A scenario with real constraints produces a better discussion than a long feature checklist. Use it to assess usability, organizational fit, and the amount of process change your team is ready to make.
