PICOTECH PERSPECTIVES

Product or custom software: how to choose your starting point

A practical framework for comparing workflow fit, integration needs, ownership, and the work behind a software decision.

Start with the work, not the technology

The first decision is not a framework or a vendor. It is a clear description of the work you need to improve. Write down who performs it, which tools they use, where information is repeated, and what a better outcome would look like. A short workflow map often reveals whether the challenge is a missing system, a poor integration, or a process that needs clarification before software will help.

When a product is a useful starting point

An existing product makes sense when its current workflows match your core needs and its operating model fits your organization. A demonstration should use your scenarios rather than a generic feature tour. Ask what is available today, what configuration is supported, what remains on the roadmap, and which integrations require additional work. A product with a narrower completed scope can still be useful if that scope is exactly what your team needs.

When custom development deserves a closer look

A custom platform can be appropriate when your workflow is distinctive, your integrations are central to the value, or your users need an experience that existing software cannot provide. That choice creates responsibilities as well as flexibility: product decisions, testing, deployment, maintenance, and future changes all need a clear owner. Discovery should make those responsibilities visible before development begins.

Questions to bring to a discovery conversation

Who will use the system? Which tasks must work at the first release? What data must move from existing tools? Who approves important actions? What happens when connectivity is limited? Which reports support actual decisions? What budget and timing constraints are fixed? Answering these questions helps define a useful first scope instead of a long, unprioritized wish list.

Compare the full operating model

Look beyond an initial build or subscription cost. Consider onboarding, data migration, integrations, support, user training, administration, and the effort required to change the system later. A good comparison also records assumptions: expected usage, data volumes, security requirements, and the people available to run the software.

How PicoTech can help

We can explore whether MahallIQ, Orvanta, PicoMart, or PicoRoute is relevant to your workflow, with each product’s current stage made explicit. If the requirements point elsewhere, our engineering and consulting services can help define a custom approach. Bring a real example of the work you want to improve; that is the most useful starting point.
