A short answer
Mahallu administration software should be evaluated against the community’s actual records and collection workflow. Start with households, members, administrative responsibilities, receipts, and the handover of collected funds. Check how corrections and access are handled. For MahallIQ, the initial focus is Kerala and a Malayalam-first experience; confirm its current development scope with PicoTech before making a rollout decision.
Begin with households and members
Community records are not always a flat list of individual accounts. A household may share contact details, and the people responsible for maintaining a record may differ from the people represented in it. Ask how the software models households and members, how duplicate information is reviewed, and how changes are recorded. Demonstrations should reflect the way your community actually organizes its records.
Walk through a complete collection journey
A collection is more than an amount entered into a screen. Review how it is recorded, how a receipt is created, who checks the entry, and how cash moves to the responsible administrator. Ask how the system treats an incorrect amount or a payment entered against the wrong household. Accountability depends on understanding the complete journey rather than simply generating a receipt.
Clarify who can see and change information
List the roles in your organization and the records each role needs. Consider administrators, collection teams, and people responsible for reviewing financial handover. Ask the product team to demonstrate the available access controls and explain how a user is added or removed. A multi-tenant architecture is relevant to community separation, but the actual permissions and operating procedures still need to be reviewed.
Prepare for migration with a small sample
Existing registers and spreadsheets may contain different spellings, repeated contact numbers, missing fields, or mixed household and member records. Review a sanitized sample first. Agree on a mapping, identify which records require human clarification, and confirm the import approach before moving a full dataset. A new platform cannot make ambiguous source records accurate without a review process.
Review language and day-to-day usability
Ask the people who will maintain the records to try representative tasks. Review Malayalam terminology, number formats, device sizes, and the practical steps involved in issuing a receipt or finding a household. Product-language support and customer communication languages are different things. Confirm what is currently supported in the product rather than assuming that every language used by a sales team is available in the interface.
Understand MahallIQ’s current stage
MahallIQ is being developed around community records, collections, receipts, and reviewed handover workflows. The wider launch scope remains in development. Ask PicoTech which workflows are ready to evaluate, how access and onboarding would work, and what a relevant preview can demonstrate. For a general committee-management requirement, discuss Orvanta separately rather than treating the two products as interchangeable.
